Round robin scheduling for teams.

Share one link for your team. SavvyCal shows the times when someone on the team is free and books each meeting with one of them, either in strict turns or with the first available person by priority. You can also add a host who joins every meeting. Round robin and collective links are on the Basic plan: $10 per host per month billed annually, or $12 monthly.

How does SavvyCal pick the next host?

You choose one of two modes for each link. Optimize for availability gives each booking to the next person in line who’s free. Optimize for evenness gives each booking to the next person in line, and shows only their times.

Optimize for availability

The link offers every time that works for anyone in the pool. When someone books, the meeting goes to the next host in the rotation who’s free.

Optimize for evenness

Hosts take strict turns. The link only offers the next host’s open times, so meetings split evenly across the pool.

Can I set priorities, hours, and limits for each host?

Yes. Each host in the rotation can have a priority, their own hours for the link, and their own meeting location, and meeting limits on the link count separately for each host.

  1. 1

Priorities. In availability mode, give hosts a priority from 1 to 9. Priority 1 hosts get first dibs when they’re free, and hosts with the same priority take turns. Priorities set an order, not a share. SavvyCal can’t give one person a percentage of meetings.

  2. 2

Their own hours. Each host can use one of their saved schedules on the link, or set hours just for it.

  3. 3

Their own meeting room. Each host brings their own location, so the meeting link comes from whoever’s hosting.

  4. 4

Limits per host. Cap meetings per day, week, or month on the link, and each host gets their own count. Each host’s account-wide limits apply too.

Can one person join every meeting while another rotates?

Yes. Add the person and set them to Exclude from round robin, which invites them to every meeting. The link then shows times when they’re free and at least one person in the rotation is free.

For example, a customer success manager who joins every onboarding call, plus one engineer from a rotation of four. You can also add optional people. They’re invited, but their calendar doesn’t block times.

Can I show the whole team’s availability for a meeting with all of us?

Yes, with a collective link. It shows only the times when every required person is free, and books the meeting with all of them.

Mark someone optional to invite them without blocking times. Need several people to book the same slot, like a workshop? Use a group link and set the maximum group size.

Which plan has round robin, and what does each host cost?

Round robin, collective, and group links are all on Basic, $10 per user per month billed annually ($120 per year) or $12 monthly. Everyone in the rotation needs a paid seat. People who book with you never need an account.

When you invite someone to your team, we add a seat to your subscription, and remove it when they leave. Everyone on a subscription is on the same plan. A rotation of five hosts on Basic costs $600 per year billed annually, or $60 per month billed monthly.

For comparison, as of October 2026 Calendly puts round robin on its Teams plan, $20 per seat per month (Calendly pricing).

There’s no self-serve trial. Every plan has a 30-day money-back guarantee, and teams that want to try it first can email support@savvycal.com.

Using HubSpot?

SavvyCal works alongside HubSpot. When someone books a SavvyCal round robin link, SavvyCal creates or updates their HubSpot contact and logs the meeting with the booked host as its owner. The HubSpot integration is on Basic, like round robin.

As of October 2026, HubSpot round robin scheduling pages need Sales Hub or Service Hub Starter or higher, and each rep needs an assigned Sales or Service seat. Meeting rotations, even or weighted, need Professional (HubSpot docs).

SavvyCal also offers a fixed host plus a rotation, per-host caps, priorities, and a booking page where people can overlay their own calendar. What HubSpot does that SavvyCal doesn’t: it can give the meeting to the contact’s owner when they’re on the link, and it can weight rotations by percentage.

Can I see who’s getting meetings, and reassign one?

Yes. The events report breaks down every link by organizer, on every plan, so you can see who’s carrying the load before anyone has to ask.

If a host can’t make a meeting, the host or a team admin can reassign it to a teammate from the event page. We cancel the original, book the new host, and let the attendees know.

What SavvyCal’s round robin doesn’t do

Routing by form answers
SavvyCal has no routing forms. A workaround: send people from your own form (HubSpot, Typeform) to a separate round robin link for each team.
One person from each of two pools
A link has one rotation. You can add fixed hosts, but not a second rotation.
Rotating pairs
Each booking picks one host from the rotation, not two.
Round robin group sessions
A link is round robin, collective, or group, not a mix.
Percentage weighting
Priorities set an order, not a share, and SavvyCal can’t send a known lead to their account owner.

If you need these, Calendly’s Teams plan has routing forms (Calendly help). Comparing tools? See round robin scheduling tools, compared.

Round robin questions

Setting up a tricky rotation? Drop us a line, and we’ll help you get it right.

Is round robin on the Basic plan?

Yes. Round robin, collective, and group links are on Basic, $10 per user per month billed annually or $12 monthly. Premium includes them too.

Does everyone on a round robin link need a paid seat?

Everyone in the rotation does. A pool can include any paid SavvyCal user on your team and needs at least two hosts, and optional attendees can’t be pooled. People who book with you never need an account.

How does SavvyCal decide who gets the meeting?

In availability mode, the meeting goes to the first person in line who’s free at the chosen time, with lower priority numbers first. In evenness mode, it goes to the next person in line, and the booking page shows only their times.

Can someone sit in on every meeting?

Yes. Leave them out of the rotation, and they’re invited to every booking along with whoever’s hosting.

Can I limit how many meetings each person gets?

Yes. Set daily, weekly, or monthly limits on the link, and each host gets their own count.

Can I give some teammates more meetings than others?

Partly. Priorities let you book some people first and others only as backup. You can’t set a percentage per person.

Can I route people to a teammate based on their form answers?

No. SavvyCal doesn’t have routing forms. You can send people from your own form to separate round robin links.

Does each host use their own video link?

Yes. Every host in the pool has their own location settings, so the meeting link comes from whoever’s hosting.

Does the meeting go on the host’s own calendar?

Yes. The event is created on the calendar of the person who was booked.

What if a host can't make a meeting?

The host or a team admin can reassign it to a teammate from the event page. We cancel the original, book the new host, and let the attendees know.

Can I put a round robin link on my website?

Yes. Embed it inline on a page, keep it a click away in a floating widget, or open it in a popup from any button.
