Timed to the meeting
Every step runs a set number of minutes, hours, or days from a point in the meeting: when it’s scheduled, when it starts, or when it ends.
Reschedule, and the steps still to come move to the new time. Cancel, and they’re called off.
Emails that sound like you
Write each email the way you’d write it by hand, and SavvyCal sends it at the right moment.
- 1
Templates. Start from a reminder, a demo confirmation, or a post-meeting thank you, then change every word.
- 2
Variables. Drop in the guest’s first name, the meeting time in their own time zone, a reschedule link, or their answers to your booking questions.
- 3
Recipients. Send to everyone on the invite, just your guests, just yourself, or whoever booked, plus up to four more addresses.
- 4
Your own address. On Premium, verify your domain and emails come from your address, not ours.
Hand off the busywork
Not every step is an email. Trigger a zap to update your CRM, post in your team’s chat, or add a to-do to your project tool. Or send a webhook and run your own code.
Each one carries the meeting’s details, so the next step knows who was there and when.
Build it once
Set up your reminders one time, and every link that needs them gets them.
- Attach it anywhere
- Run one workflow on as many of your links as you like, and stack several workflows on one link.
- New links come ready
- Turn on “Automatically attach to new links,” and every link you create from then on picks it up.
- Share it with the team
- Team owners and admins manage the team’s workflows, and anyone who edits a team link can add them to it.
Workflow questions
Want a hand building yours? Drop us a line, and we’ll help you set it up.
Which plans include workflows?
Every paid plan, including your free trial. On a free account you can build workflows, but they won’t run until you upgrade.
Can emails come from my own address?
Yes, on Premium. Verify your domain, and emails to your guests come from the organizer’s address. Otherwise they come from SavvyCal under the organizer’s name, and replies still go to the organizer.
What if someone books at the last minute?
Steps that are already due run right away, so if someone books 30 minutes out, a one-hour reminder goes out as soon as they book. Steps more than an hour overdue are skipped.
Do workflows work with group events?
Yes. When someone new signs up, they get the steps that run after scheduling, and the rest of the group doesn’t get them again.
Can a step send a text message?
Not directly. Steps send emails, trigger zaps, and send webhooks, so you can text through Zapier or your own code.
